Request for Proposals (RFP) – Supply and Installation of Inverters and Batteries

Introduction:

We are inviting proposals from qualified vendors to supply and install inverters and batteries as part of a full alternative energy source for households. This system will complement the normal electricity supply from the national grid for our staff, which comprises a total of 90 employees.

Project Overview:

The selected vendor will be responsible for:

1. Supplying inverters and batteries.
2. Installing the systems in the households of our employees.
3. Providing after-sales support and replacements for any goods damaged during installation.
4. Offering a written guarantee for after-sales support.

Payment Terms:

The payment for the services and products will be structured in a minimum of twelve (12) monthly instalments, collected directly from employees’ salaries.

Scope of Work:

1. Supply and Installation:

  • Provide inverters and batteries for household use.
  • Ensure professional installation of the systems.

2. After-Sales Support:

  • Provide ongoing support for the installed systems.
  • Replace any goods damaged during installation promptly.

3. Guarantee:

  • Offer a written guarantee for the after-sales support.

Vendor Requirements:

Interested vendors must submit the following documentation and demonstrate their capability:

1. Certificate of Registration or Incorporation.
2. Pacra printout
3. Valid Tax Clearance Certificate.
4. Company profile
5. Track record of at least two (2) years in supplying and installing alternative energy systems.
6. Qualification and experience of technical staff
7. Demonstrated capacity to handle after-sales support and replacement of goods damaged during
installation.
8. Written guarantee for providing after-sales support.
9. Product specification and cost breakdown
10. Bank Statement(6 months)

Project Timeline:

  • Proposal Submission Deadline: 22nd August, 2024
  • Evaluation and Selection: 27th August, 2024
  • Contract Award: 29th August, 2024
  • Commencement of Service: 1st September, 2024

Evaluation Criteria:

Proposals will be evaluated based on the following criteria:

1. Compliance with vendor requirements.
2. Cost-effectiveness.
3. Quality and comprehensiveness of the proposed plan.
4. Demonstrated experience and track record.
5. Capacity for after-sales support and provided guarantee.
